How Pricing Works

 

Every retreat is a complete project.
My pricing reflects the full practical scope of supporting that project, from the first planning conversations to on-site coordination and proper closure.

My pricing is calculated using a day-based structure, with travel-related costs added.

I work with a day-based structure, using the number of my on-site retreat days as a clear and transparent reference point.
This structure is used to calculate the fee for the entire practical organisation of the retreat.

 

 

What the Pricing Covers

 

The agreed fee covers the full practical support around your retreat, including:

 

  • Shaping and structuring the retreat concept from a practical perspective

  • Researching, selecting and coordinating the retreat location

  • Preparation, planning and overall practical coordination

  • Communication and alignment with the retreat location and suppliers

  • Guiding the organiser through technical and practical setups, including landing page structure, booking flows, participant communication and operational tools

  • Translating ideas into a workable, realistic retreat setup

  • Holding the practical overview, timeline and flow of the retreat

  • Practical organisation around accommodation, food and logistics

  • Participant flow, timing and practical on-site support

  • On-site coordination and problem-solving

  • Wrap-up and practical closure after the retreat when applicable

 

This allows you to stay fully focused on your content and your participants, while the entire practical container of the retreat is held clearly and calmly.

 

 

Presence on Location

 

To ensure a smooth and well-supported retreat experience, I am:

  • present at least one full day before the retreat starts, for preparation, alignment with the location and final setup

  • in some cases, present one additional day after the retreat to wrap up, debrief and close everything properly

These days are included in the overall pricing calculation and are always discussed and agreed upon in advance.

 

 

Indicative Day Rate

 

€450 – €650 per day

The exact rate depends on:

  • the complexity of the retreat

  • the location and logistical setup

  • the group size

  • the level of coordination and responsibility involved

 

A clear proposal is always shared before any commitment is made.

 

 

Travel, Transport & Accommodation

 

All my travel-related costs connected to the retreat are covered by the organiser.

 

This includes:

  • transport to and from the retreat location

  • flights and/or train tickets

  • car rental at the destination

  • fuel, tolls and parking costs

  • accommodation and food during the full retreat period

  • meals outside the retreat program when applicable

 

I travel independently and value comfort, flexibility and efficiency in order to support the retreat smoothly and respond adequately to practical situations when they arise. Travel costs are approved in advance and reimbursed in full immediately after booking.

 

 

Clarity & Alignment

 

Before committing to a collaboration, everything is discussed and agreed upon clearly:

  • scope and expectations

  • number of on-site days

  • pricing and payment terms

 

This ensures a calm, transparent and well-aligned collaboration from the start.

 

Behind the Retreat provides practical organisational support. The retreat organiser remains responsible for the retreat, its content, program and participants.
